- Enter Total hours.
- Enter Billable hours.
- Calculate, then review the period, scope and assumptions before using the result for pricing or planning.
How it is calculated
Example
Out of 160 total hours with 120 billable, 40 hours are non-billable, representing 25% of work time.
Important notes
Break non-billable time into sales, administration, learning and rework; understanding the components is more useful than simply trying to reduce the total.
Worked examples and interpreting results
| Case | Calculation | Result |
|---|---|---|
| Non-billable hours | 160 − 120 | 40 |
| Share | 40 ÷ 160 × 100 | 25 % |
Frequently asked questions
Should non-billable hours be zero?
No. Administration, sales and development are usually necessary; the goal is to understand and improve them, not eliminate them entirely.
Is the result a mandatory client price?
No. It is a planning result from your inputs; final pricing depends on scope, market, contract, taxes and risk.
Should I use monthly or annual figures?
Keep all inputs on the same period so annual income is not mixed with monthly hours or expenses.
